The Acquisition Set

1. Inquiry response (send within the hour — speed is the whole game):

2. Not available (never just "no" — the referral keeps the relationship):

"Hi [name], I'm booked on [date] — but I'd happily recommend [peer], whose work I trust: [contact]. If your dates shift, I'd love to be your first call!"

3. Quote delivery (same day as the call):

"Lovely speaking with you! Attaching the detailed quote — [package] at ₹[X], valid till [date]. The date stays open till someone confirms it with an advance, so take your time but not too much 😄 Questions welcome!"

4. Follow-up (day 3, then day 7, then park):

"Hi [name], just checking in on the quote — happy to adjust inclusions if something doesn't fit. The [date] is still open as of today!"

The Confirmation Set

5. Booking confirmation (the onboarding trigger):

"Wonderful news! 🎉 To lock [date]: (1) the agreement — sign here: [link], (2) the booking advance of ₹[X]: [UPI/link]. The moment both are in, the date is exclusively yours and I'll send over next steps."

6. Advance received:

"Received, thank you! Receipt attached — ₹[X] against [booking], balance ₹[Y] due [when]. Here's what happens next: [two lines]. So looking forward to this!"

The Delivery Set

7. Pre-event check-in (1 week out — the message that catches every venue change):

"Hi [name]! One week to go 😊 Confirming: [event] on [date], [venue], I arrive by [time]. Quick checks: [service-specific — guest count / ready-by time / power access]. Also a gentle reminder that the balance of ₹[Y] is due by [date] — link: [link]."

8. Day-before message:

"All set for tomorrow! Reaching [venue] by [time]. My number's saved — anything last-minute, call me directly. Rest well! ✨"

9. Delivery + balance (where applicable, delivery-linked):

"Here's the sneak peek! 🥹 [attachment/link] Full delivery lands [date] — it releases as soon as the balance of ₹[Y] clears: [link]. Thank you for having me!"

The Afterglow Set

10. The review ask (at peak delight, not weeks later):

"So glad you loved it! If you have two minutes, a review here would mean the world to a small business: [link]. And truly — thank you."

11. The referral seed (3–4 weeks post-delivery):

"Hi [name]! Hope [the photos/the memories] are still making the rounds 😄 If anyone in your circle needs [service], I'd love an introduction — friends of my favourite clients get priority dates."

The Awkward One

Using Templates Without Sounding Like One

  • First line personal, rest structural — one genuine sentence ("the haldi photos are chaos in the best way") humanizes everything after it
  • Keep the numbers out of the template and in your booking records — templated structure with wrong amounts is worse than no template
