A photography invoice does two jobs: it gets you paid, and it documents exactly what the payment covers. Most payment delays and "I thought that was included" arguments trace back to invoices that do neither. Here's how to invoice photography work properly, whether you shoot weddings, portraits, events, or commercial projects.
The Anatomy of a Photography Invoice
Every photography invoice needs:
- Your business identity — name/studio name, phone, email, logo, and GSTIN if registered
- Client details — name, address, and their GSTIN for business clients
- Unique invoice number — sequential, e.g. INV-2026-0042; never reuse or skip randomly
- Invoice date and due date — "due on receipt" or a specific date, never blank
- Line items that mirror your package — this is where photography invoices go wrong (next section)
- Payment instructions — UPI ID, bank details, or a payment link
- Totals — subtotal, GST if applicable, amount already paid (advance), and balance due
That "amount already paid / balance due" section matters more in photography than almost any other business, because nearly every job involves an advance.
Line Items: Mirror the Package, Not the Hours
Wedding and event clients bought a package, so invoice the package — broken into meaningful lines:

Line items do the arguing for you. When the album is its own line, "can you add 10 more pages free?" has an obvious answer — that line changes.
For commercial work, invoice deliverables and usage: "12 edited product images, web + social usage, 1 year" — commercial clients pay for rights, and the invoice should record them.
The Two-Invoice (or Three-Invoice) Rhythm
Photography money arrives in instalments, and each instalment deserves a proper invoice:
- Advance invoice at booking — for the retainer amount, marked clearly as a booking advance against the total package
- Balance invoice before the event — the remaining amount, due on or before the shoot date
- Optionally a final invoice for add-ons decided later: extra hours, additional prints, a second album for parents
Never let add-ons ride on a verbal "we'll settle it later." Invoice them within 48 hours of agreement, while the enthusiasm is fresh.
GST for Indian Photographers
If your turnover exceeds ₹20 lakh (₹10 lakh in special category states), GST registration is mandatory. Photography services attract 18% GST (SAC code 998387 for event photography). On invoices:
- Intra-state: 9% CGST + 9% SGST
- Inter-state (destination weddings in another state): 18% IGST
- State whether your quoted package was inclusive or exclusive of GST — decide this at quoting time, not invoicing time

Getting Paid Faster: What Actually Works
- Invoice immediately. Advance invoice the day they confirm; balance invoice 7 days before the event, not after it. An invoice sent post-wedding competes with honeymoon expenses.
- Tie delivery to payment. Full gallery releases on balance clearance — stated in the contract, restated politely on the invoice.
- Make paying take 30 seconds. A UPI QR or payment link on the invoice beats bank details typed into a PDF. Every extra step costs you days.
- Send from a system, not a screenshot. A numbered invoice from invoicing software reads as a business document; a WhatsApp text saying "total 91,600 baaki hai" reads as negotiable.
