A client hands you ₹30,000 in cash as an advance for a December wedding. Six months later, their uncle — who is "handling the accounts" — insists only ₹20,000 was ever paid. If you issued a proper money receipt that day, this conversation lasts ten seconds. If you didn't, it can poison the whole booking.

A money receipt is the simplest document in business paperwork, and also the one most casually skipped. Here's the format that holds up.

What a money receipt is

A money receipt is a written acknowledgement that you received payment — cash, UPI, cheque, or transfer. It's issued after money changes hands, which makes it fundamentally different from an invoice (a request for payment issued before). If you're fuzzy on the distinction, our invoice vs receipt vs quote guide draws the lines clearly.

For service businesses that collect advances — which is essentially the entire wedding industry — the money receipt is the document trail for every instalment: booking advance, mid-way payment, final settlement.

Standard money receipt format

A complete money receipt contains:

  1. "MONEY RECEIPT" / "PAYMENT RECEIPT" as the heading
  2. Receipt number — serial, unique (e.g., RCT-2026-041)
  3. Date of receiving the money
  4. Received from — payer's full name (and company, if applicable)
  5. Amount in figures AND words — "₹30,000 (Rupees Thirty Thousand only)". The words control if the figures are disputed or altered.
  6. Payment mode — cash / UPI (with transaction ID) / cheque (number, bank, date) / NEFT-IMPS (reference number)
  7. Payment towards — what this money is for: "Advance for wedding photography, event dated 12-12-2026"
  8. Balance remaining, if part payment: "Total: ₹80,000 | Received till date: ₹30,000 | Balance: ₹50,000"
  9. Signature of the receiver, with name and designation
  10. Your business name, address, contact — ideally on a letterhead

Item 8 is the one that prevents the uncle problem. A running balance on every receipt means both sides always agree on what's left.

The revenue stamp rule

Under the Indian Stamp Act, a receipt for cash payment above ₹5,000 should carry a ₹1 revenue stamp, signed across. Points worth knowing:

  • It applies to cash receipts. Digital payments (UPI/bank transfer) generate their own electronic trail and don't need stamping.
  • An unstamped receipt isn't void — but it can attract a small penalty and gives the other side a technicality to argue about. For ₹1, don't hand them one.
  • Buy a strip of revenue stamps from the post office and keep them inside your receipt book.

Cheque payments: word the receipt carefully

A cheque can bounce. So a receipt for a cheque should say:

"Received cheque no. 456123 dated 21-07-2026 drawn on HDFC Bank for ₹50,000, subject to realisation."

Those three words mean the receipt acknowledges receiving the cheque, not the money. Skip them and a client with a bounced cheque is holding your signed admission that they paid.

Money receipt vs payment receipt vs cash receipt

These terms get used interchangeably, and mostly they are the same document. Convention, where it exists:

  • Cash receipt — specifically for cash transactions
  • Payment receipt — any mode; often auto-generated by software against an invoice
  • Money receipt — the generic umbrella term, common in banking and legal usage

What matters is content, not the title. Any of the three with the ten fields above does the job.

For GST-registered businesses: receipt voucher

If you're GST-registered and receive an advance for services, the GST-compliant document is a receipt voucher under Rule 50, and yes — GST is payable on service advances in the month you receive them, not when you finally invoice. This surprises a lot of wedding vendors at filing time. We cover the mechanics in our advance payment invoice guide.

Stop writing receipts by hand (or at least, back them up)

Receipt books work until they don't — a lost book, a faded carbon copy, a receipt written in a rush at a venue with no book in hand. A digital trail is harder to lose and easier to search.

BrightDesk records every payment against its booking — advance, instalments, final settlement — and the client-facing invoice always shows amount received and balance due, which functions as a running receipt both sides can see. For standalone documents, the free invoice generator produces clean PDFs in a minute.

If late or disputed payments are a recurring theme in your business, pair proper receipts with firm terms — our guides on handling late-paying clients and payment reminder templates are the natural next read.
