"Payment received, thanks!" on WhatsApp is not a receipt. It feels like one — there's a timestamp, an amount somewhere in the chat, and goodwill on both sides. Then eight months pass, the chat is buried under 4,000 messages, the client's father is doing the accounts, and you're scrolling on a bus trying to prove a ₹15,000 advance existed.
A payment receipt takes ninety seconds to issue and permanently ends that class of problem. Here's the format.
Payment receipt vs invoice: the direction of the document
An invoice asks for money. A payment receipt confirms money arrived. They're bookends of the same transaction, and a clean paper trail has both: invoice issued → payment received → receipt issued. If your mental model of these documents is fuzzy, start with invoice vs receipt vs quote.
The receipt matters most in businesses that collect in instalments — booking advance, milestone payments, final balance. That's the entire events and freelance world.
The standard payment receipt format
- Heading: "PAYMENT RECEIPT"
- Receipt number — its own serial series (RCT-2026-001), separate from invoice numbers
- Date payment was received
- Received from — payer name and contact/company
- Amount — figures and words
- Payment mode with reference — UPI transaction ID, cheque number + bank + date, NEFT/IMPS UTR, or "cash"
- Against invoice number — the invoice this payment settles (fully or partly)
- Payment towards — one plain sentence: "Part payment for bridal makeup, wedding dated 06-12-2026"
- Running position: Invoice total ₹X | Received till date ₹Y | Balance ₹Z
- Issuer's signature, business name and stamp/letterhead
Field 9 is the difference between a receipt and a useful receipt. When every receipt restates the running balance, you and the client can never disagree about what's left — the most recent receipt is the single source of truth.
Rules worth knowing
- ₹1 revenue stamp on cash receipts above ₹5,000 (Indian Stamp Act). Digital payments don't need it.
- Cheques: always add "subject to realisation" — otherwise a bounced cheque leaves you holding a signed confirmation of payment that never happened.
- Cash limits: Section 269ST prohibits receiving ₹2 lakh or more in cash from one person for one event/transaction — the penalty equals the amount received. Wedding vendors, this rule was practically written about you. Split payments across UPI/bank transfer instead.
- GST businesses: an advance for services triggers a receipt voucher under Rule 50 and GST liability in the month of receipt — details in our advance payment invoice guide.
Digital receipts are fully valid
There's no legal requirement for paper. A PDF receipt emailed or sent on WhatsApp is valid proof of payment — arguably better, since it can't fade like a carbon copy and both sides hold identical copies with timestamps. Preserve business records for 6 years (72 months) under GST; a folder of PDFs beats a drawer of receipt books.

Automating the receipt trail
Issuing receipts manually is exactly the kind of task that gets skipped on a busy week — which is when it matters most. In BrightDesk, every payment you record against a booking updates the invoice's amount received and balance due automatically, so the client-facing document always reflects the current position; your payment history per client is searchable forever. For standalone documents, the free invoice generator covers you.
