If you run taxis, tempo travellers, or a small transport fleet, your bills are read by the strictest audience in billing: corporate accounts teams. A company that books your Innova for airport runs every week will process your bill only if it carries the fields their software expects. Get the format right once, and payments stop getting "stuck in accounts."
Who needs a proper taxi/transport bill
- Independent drivers serving corporate clients directly
- Travel agencies and car rental operators
- Wedding transport providers (guest shuttles, baraat vehicles, vintage car rentals)
- Tempo/bus operators for events and tours
- Goods transporters (a different GST regime — covered below)
Ola/Uber drivers don't issue their own bills — the platform generates the invoice. This guide is for everyone billing directly.

GST on cab and transport services
Passenger transport by motor cab attracts 5% GST without input tax credit (the standard choice) or 12% with ITC. Practical notes:
- Most small operators charge 5%. Choosing 12% only makes sense if you have heavy input costs (new fleet purchases) — talk to a CA before switching.
- Reverse charge (RCM): When an unregistered or 5%-charging cab operator bills a body corporate, the company often pays GST under reverse charge. Many corporates will instruct you to bill without tax and note "GST payable by recipient under RCM." Follow their instruction and print the note — it's a standard, legal arrangement.
- Toll and parking recovered at actuals are typically shown as reimbursements with receipts attached.
- Below ₹20 lakh annual turnover you don't need GST registration at all — bill without tax and state "GST not applicable — unregistered."
Goods transport (GTA) is a separate regime: consignment notes, 5% RCM by the recipient in most cases, and e-way bills above ₹50,000 consignment value. If you're moving goods, not people, get GTA-specific advice.
Wedding and event transport
Wedding transport billing has its own rhythm: multi-day duties, multiple vehicles, and one family paying for all of it. Structure the bill vehicle-wise, day-wise so the client sees exactly what 6 cars over 3 days cost. Take a healthy advance — vehicles blocked for a wedding date can't be rebooked if the event cancels. Our guides on advance and deposit policies and cancellation policies for events apply directly to transporters.
Common mistakes on transport bills
- No vehicle number — the #1 reason corporate teams bounce transport bills.
- Km readings missing — extra-km charges without opening/closing readings look invented.
- Toll clubbed into fare — show at actuals, attach receipts, or corporates will deduct it.
- One consolidated line for a month of duties — bill duty-wise with a date-wise annexure; accounts teams need to match each trip against their booking log.
- Charging GST while unregistered — illegal, and companies check GSTINs automatically now.
Faster billing for repeat duties
Corporate transport billing is the same bill with different dates and readings, twenty times a month. Save the format once and reuse it: BrightDesk's free invoice generator keeps your line-item structure, does the math, and gives you a clean PDF per duty — or per month with duty-wise lines. Registered operators can use the GST invoice generator for automatic CGST/SGST splits. When payments still crawl, our late payment reminder templates are written for exactly this situation.
