How to Send a Contract and Get It Signed Online (Free E-Signature)

Updated 18 October 2026

Printing, signing, scanning and chasing PDFs takes days. With Brightdesk you open the booking, choose your contract template, and send the client a link on WhatsApp. They open it on their phone, read the terms and sign online with their Google account. You get a notification as soon as it's signed, and the signed copy stays with the booking.

Plan note: Contracts are a Pro feature, included in your 28-day free trial.

In this tutorial

Before you start

  • Create at least one contract template. If you don't have one, Brightdesk creates a default template for you the first time.
  • Make sure the booking has the right date, venue, time and total, because these fill into the contract.

Step 1: Open the booking

Open the booking, then in the Overview tab scroll to Actions and tap Create Contract (Generate and send for signature).

Step 2: Check your details and pick a template

In the contract window:

  1. Check Your Contact Details. This fills in the phone and address in your contract.
  2. Under Contract Template, Select Template (your default is already selected)
  3. Tap Generate Contract Link

Step 3: Send it to your client

You'll see Contract link generated: Ready to share with your client. Tap Share Contract to send it on WhatsApp, email or any app, or copy the link.

Message you can copy:

Hi Meera! Here's our service agreement for your wedding on 14 Feb ๐Ÿ’ Please read it and sign online (takes 1 minute): [link]. Let me know if you have any questions!

Step 4: What your client sees

Your client opens the link. They don't need an app or an account. They see:

  • Booking Details: their name, event date, phone, email and city
  • Payment Details: the total amount
  • Terms & Conditions: your contract with all their details filled in
  • Signatures: your signature as Service Provider is already on file

Step 5: The client signs

At the bottom, the client taps Sign in with Google to Continue, then Sign Contract. Signing in with Google confirms who signed. The contract is marked Signed Contract with the date.

Step 6: You get notified

You'll get a push notification as soon as the contract is signed. On the booking, the contract action now reads View Contract with Signed on [date] and a โœ“ badge.

Contract statuses

Status Meaning
Draft Created, not sent yet
Sent Awaiting signature. Follow up if it's been a few days.
Signed โœ“ Signed by the client, with the date recorded

Frequently asked questions

Is an online signed contract legally valid? In many countries, including India (under the IT Act, 2000) and the US (ESIGN Act), electronic signatures are accepted for most service agreements. Rules differ by country and type of document, so for anything high-value, check with a lawyer. Read contract vs invoice: legal basics.

My client doesn't have a Google account. What now? Signing currently needs a Google sign-in. Most Android users already have one through Gmail or the Play Store.

Should I send the contract or the invoice first? Send the contract first, once the client confirms. Then send the invoice for the advance or balance.
