Part 8 · Tutorial 22 of 24

Track Business Expenses and See Your Real Profit (Free Expense Manager)

Updated 18 October 2026

Revenue isn't profit. A ₹50,000 wedding that needed ₹12,000 of products, ₹5,000 of travel and an assistant is a very different job from one that didn't. Brightdesk lets you log expenses in seconds, tag them to a booking if you want, and shows your Revenue, Expenses and Net Profit on the dashboard every month.

In this tutorial

Step 1: Add an expense

Tap + → New Expense, or go to Finance → Expenses and add one. In Add New Expense, fill in:

  • Expense Type: General Expense (not linked to any booking) or pick a booking from the list
  • Category*: Materials, Transport, Equipment, Marketing, Rent, Staff/Labor, Utilities, Other, or your own
  • Amount* and Date*
  • Vendor/Supplier*: for example Nykaa, Ola, Studio landlord
  • Notes (Optional)

Link to a booking when the cost belongs to one client, like travel to their venue or an assistant for their wedding. Use General for things like rent, kit refills and ads.

Step 2: Review your expenses

Finance → Expenses lists everything with totals. Use Filter by Category to see, for example, how much you spent on Marketing this year.

Tap an expense to Edit Expense or delete it.

Step 3: Create your own categories

Tap Manage Categories → Add New Category, enter a Category Name (for example Studio Rent or Lash Supplies), pick a Color, and save. Default categories can't be deleted, but your custom ones can.

Step 4: See your profit on the dashboard

The stats cards at the top of your Dashboard show, for this month:

  • Revenue: compared with last month
  • Pending: money still owed to you
  • Expenses: and what share of revenue they are
  • Net Profit: with your profit margin

Step 5: Go deeper with Analytics (Pro)

Open Analytics for:

  • Monthly Revenue & Expense charts
  • Expense Category Breakdown: where your money goes
  • Customer Growth: new clients over time
  • Lead Source Tracking: which channels (Instagram, referrals, Google) bring bookings
  • Client Feedback Stats

Plan note: Analytics is a Pro feature, included in your 28-day free trial. Expense tracking itself is free.

A 5-minute weekly habit

Every Sunday, add the week's receipts. It takes five minutes and saves you hours at tax time. Read the full system in expense tracking for freelancers. Makeup artists: see makeup artist kit expenses.

Frequently asked questions

Can I attach receipt photos? Not yet. Use Notes to record the bill number, and keep the receipts in a folder.

Is profit calculated per booking? Linking an expense to a booking records which job it belongs to. The dashboard and Analytics show your overall monthly profit. There isn't a separate profit report for each booking yet.
