As your bookings grow, you need two things: a quick way to find any booking, and a calendar that tells you instantly whether you're free on a date. Brightdesk gives you both. The Bookings list has search and filters, and your dashboard has an availability calendar where you can block your days off.
In this tutorial
Part 1: Managing your bookings
Find a booking
Go to Studio → Bookings (or Bookings in the desktop sidebar).
- Search bookings… by client name or booking name
- Filter: show All Bookings or Quick Bookings Only
- Export: download your bookings list (desktop)
Edit a booking
Open a booking and tap Edit Booking. You can change any detail: date, time, services, prices, advance, notes or status. Tap save when you're done.
Mark a booking as completed
After the event, change the status to Completed. Bookings switch to In Progress automatically on the event date, but you mark them Completed yourself. That's when Request Review appears. See requesting reviews.
Cancel a booking
Choose Cancel Booking, add a Reason for cancellation (for example "Client postponed to next year"), and confirm. Tap Keep Booking if you change your mind. Cancelled bookings stay in your records.
Part 2: Your availability calendar
The calendar on your Dashboard shows every booking and session by month. Swipe left and right on mobile to change months. Unavailable days are marked so you can see them at a glance.
Check a date
Tap any date to see what's booked that day. If nothing is, you'll see You're Free!, along with buttons to Create New Booking or Mark as Unavailable.
Block dates you're unavailable
- Tap the date and choose Mark as Unavailable.
- Choose the Start Date and End Date. For a single day, leave the end date the same.
- Add a Reason if you like, for example "Family wedding" or "Vacation".
- Save.
From then on, if you (or you on a busy call) try to book that date, Brightdesk warns you with Date Unavailable before saving.
Unblock a date
Tap the blocked date, then choose Edit Period to change the range or Mark as Available to remove the block.
Tips to avoid double-booking
- Block travel days before and after destination weddings.
- Save a quick booking the moment a client says "yes, hold the date". An empty calendar day looks free.
- Check the calendar before you quote. It takes two seconds.
